Calendar of Responsibilities for the Music Director of the Concord Band

The Band's "season" runs from September to July, with no scheduled events in August other than a board meeting.

The performance schedule includes six formal concerts at 51 Walden, six summer concerts at Fruitlands Museum, and several other concerts at other venues.

  • Fall Concert: usually the last Saturday in October.
  • Holiday Pops Concert: usually the second weekend (Friday and Saturday) in December.
  • Winter Concert: usually the first Saturday in March.
  • Spring Pops Concert: usually the second weekend (Friday and Saturday) in April.

The Fall and Winter concerts are our most formal concerts, in which we perform our most challenging music and often feature guest soloists and/or conductors. The Holiday Pops concerts are a major source of revenue for the Band, and we go all out for them, decorating the hall, providing snacks and drinks, running a raffle of holiday gifts, etc. The Spring Pops concerts are fundraisers for other groups in the Concord area, and the Band gets a fixed fee for each one. The sponsoring groups do all of the other work, including programs and ticket sales.

  • Boston Festival of Bands: first Saturday in June, at Faneuil Hall. We play in this event nearly every year. Each band gets 40 minutes of performance time.
  • Peyson Park Concert: mid-June, usually the second or third Wednesday, with a rain date on the following Thursday.
  • Independence Day Concert: July 4, at Emerson Field in Cocnord.
  • Fruitlands Museum Series: six Thursday evenings, ending on the last Thursday in July. This means that there are four or five concerts in July and one or two concerts at the end of June.
  • Open Rehearsal/Band Social: the Sunday before the last Fruitlands concert, at the Boston Harbor Yacht Club.

The Music Director maintains a "sort list", which is a single sheet of paper that is handed out to the band and kept in the folders as a reference. It includes the upcoming rehearsal and performance schedule for the next several months, programs and soloists (if known) and an alphabetical list of all of the music that's supposed to be in the folders at any given time. This paper needs to be updated and redistributed two or three times a year.

The Band mails out a newsletter twice a year, just prior to the Fall and Winter concerts. The Music Director is responsible for one article in each of these newsletters, giving details and background for the upcoming concert.

The following list gives the month-by-month tasks for which the Music Director is responsible.

Every month

  • Attend board meeting on the second Wednesday of the month.
  • Monday night rehearsals, except for August and the latter half of December (following the Holiday Pops concerts).

August

  • Consider themes and program ideas for upcoming season (keep summer season in mind)
  • Review new music and learn scores
  • Finalize Program for Fall Concert
  • Secure soloist for Fall concert if required
  • Obtain any required photos for newsletter and program and submit to Dan Diamond
  • Write Fall Concert article for the Newsletter - coordinate with Dan Diamond
  • Order any new music for Fall Concert
  • Submit list of all music for Fall Concert to Librarian
  • Develop Fall Schedule and Sort List for the Band prior to first rehearsal

September

  • Secure soloist for Holiday Pops Concert
  • Write Program Notes for Fall Concert and submit to Peter Norton
  • Submit Program Page to Peter Norton
  • Check Program Roster for accuracy (Coordinate with Peter Norton)

October

  • Set-up stage and sound system for Fall Concert (Saturday morning on the day of the concert)
  • Concert last Saturday in October
  • Secure soloist (vocalist) for April Pops Concert
  • Secure Soloist and/or Guest Conductor for Winter Concert
  • Finalize Holiday Pops Program by mid-October at the latest
  • Order any new music for this concert by early October
  • Submit list of music and any new music for Holiday Pops to the librarian by third week in October
  • Update Schedule and Sort List to include Holiday Pops Music

November

  • Submit Program materials to Peter Norton (program page, check roster)

December

  • Set-up stage and sound system for Holiday Pops Concert (Friday morning on the day of the first concert)
  • Holiday Pops Concerts (Fri & Sat, usually second weekend in December)
  • Finalize Program for Winter Concert
  • Order any new music for Winter Concert
  • Submit list of all music for the Winter Concert to the Librarian
  • Update Schedule and Sort list to include the Winter Concert and Spring Pops Concert

January

  • Finalize Program for the Spring Pops Concert
  • Order any New Music
  • Write Winter Concert article for the Newsletter - coordinate with Dan Diamond
  • Submit and photos and bios for guest artists for the Winter Concert to Dan Diamond

February

  • Submit list of music for Spring Pops Concert to Librarian
  • Order any new music for Spring Pops Concert

March

  • Set-up Stage and sound system for Winter Concert (Sat morning on the day of the concert)
  • Winter Concert (first Saturday in March)
  • Submit program materials for April Pops Concerts to Rotary and Emerson Hospital including the roster, program page, bios of guest(s), photos of guest(s), update bios of conductor(s) and the Band itself.
  • Finalize Program for Boston Festival of Bands and submit to Metropolitan Wind Symphony

April

  • Set-up Stage and sound system for Spring Pops Concert (Friday morning on the day of the first concert)
  • April Pops Concerts (Friday & Saturday, usually 2nd weekend in April)
  • Finalize programs for Summer Concerts including Fruitlands concerts (6 themes), Fourth of July concert, and any sponsored concert (Payson Park)
  • Submit list of music for summer concerts to the librarian
  • Update Schedule and sort list to include all summer programs and Boston Band Festival

May

  • (no tasks other than rehearsals and board meeting)

June

  • Boston Festival of Bands (first Saturday in June)
  • Payson Park Concert in Belmont
  • Thursday Night Concerts at Fruitlands (last one or two Thursdays in June)

July

  • Fourth of July Concert in Concord
  • Thursday Night Concerts at Fruitlands
  • Open Rehearsal at Boston Harbor Yacht Club (Sunday before last Fruitlands concert)
